Flowsheets allow you to track interventions, treatments, and evaluative procedures within the Chart Note. More details: Flowsheets/Intervention Manager User Guide

Fill a Flowsheet

There are 3 ways to add an intervention to a flowsheet:1. Reuse Interventions from Past Visits
  • Click on clock icon → select a visit date
  • Vew visit-by-visit intervention history
  • Select interventions to re-use values from, then click Re-Use Selected Rows to pull data into the current visit. Image Ea081825 96f9 4087 83a3 A201f8690e4e Web
2. Search for interventions or add your custom intervention
  • Use the searchbar at the bottom of the flowsheet to search for a specific intervention.
  • If you dont find your intervention you can click on the + icon to add a free text intervention to the flowsheet. However, this will not be visible for future visits. Image 09369219 1b0f 4183 B6b5 C420da1b9a9f Web
3. Add an Intervention from the Intervention Manager
  • Click Add Interventions on the top right of the flowsheets section.
  • Search, filter, and select interventions by:
    • Type: Modality, Exercise, Manual Therapy
    • Body Part
    • Category
    • **CPT Code **(if your practice has set-up the intervention manager, CPT codes will auto-populate)
    • Movement Type
  • Or use the search bar to quickly find interventions by name. Interventions search is sorted by user’s most-used interventions
  • Selected interventions will appear in the flowsheet in the order chosen.
  • Drag and drop interventions to change their order. The order is saved and persists across future notes.
  • Click the trash icon to remove an intervention. Interventions marked as DONE must be unmarked before deletion.
**Note: **Flowsheets should be used manually with the help of intervention groups (we do not recommend using Athelas AI Scribe for Flowsheets).33 Add Intervention GiAdd Evaluative Procedures:
  • Click Add Evaluative Procedure to select CPT codes not tied to interventions.
  • These appear in the blue header alongside other procedures.
  • Remove evaluative procedures directly if no longer needed.

You can create custom interventions for modalities such as ice or hot packs.

Mark an Intervention as Concurrent

  • Enter weights, sets, reps (free text).
  • Add treatment duration/minutes (number input).
  • Use carry-forward icons:
    • Calendar icon → carry forward values to next note.
    • Notes icon → carry forward weights, sets, reps, and notes.
  • Expand the caret icon for additional fields (e.g., justification, modifiers).
  • Select CPT Code (search by name or numeric code). Default values from pre-defined custom interventions (duration, CPT, justification) flow into the flowsheet automatically.
  • Select the provider who performed the intervention (default is Rendering Provider)
  • Mark an intervention as DONE only after linking it to a CPT code.
**Mark an Intervention To-do: **Double click an intervention to mark it as a To-do (green border, moves to top) as an exercise to be done today. Mark an Intervention as Concurrent

In some cases, two interventions may occur at the same time, and you don’t want to bill them separately. In these cases, you can mark interventions as concurrent.The duration is billed as the maximum of the overlapping times, not the sum.Example: Before: (10 + 2 + 10 + 15 = 37)Concurrent Before WebExample: After: (10 + 2 + max(15,10) = 27)Concurrent After WebPrerequisites for marking an intervention as concurrent:
  • The intervention must be marked as Done.
  • Both interventions must have the same procedure code.
Air auto-suggests concurrent options. Selecting one intervention as concurrent automatically maps it back to the other.Once you mark Intervention B as concurrent with Intervention A, Intervention A will also be auto-selected with Intervention B (creating a two-way mapping).Note: You cannot change the CPT code until the concurrent link is removed. You cannot set an intervention to Pending until the concurrent link is removed.

Calculate Units & Time

  • Auto-calculate: The system automatically calculates treatment time and units.
  • Manual entry: Turn off auto-calculation toggles if you want to manually enter total time or units (useful for concurrent exercises). Clicking the CPT code in the blue box will highlight all related interventions in blue for faster visual sorting and editing of the associated intervention(s).
  • You can also add up to four modifiers to a procedure after marking it as done.
Note: In some cases, if two interventions may occur at the same time, you can **mark them as concurrent. **Users can toggle the visibility of modifiers and justification fields in Preferences.37 Manual Units Time Gi

Create & Send a HEP

  • Mark the checkbox labeled HEP (Home Exercise Plan) to select interventions to print.
  • Click the double caret icon to add notes that will appear only in the HEP (not in billing).
  • Click Print HEP to preview and send the HEP via email, text, or print as a PDF.
Note: Any interventions marked as HEP in the previous appointment will appear as checked in the current appointment as well.Hep Web38 Hep Gi

Create and Edit Custom Interventions

Create a New Intervention

  • Navigate to Interventions in the left navigation bar.
  • Click New Intervention. New Intervention Pn
You can specify:
  • The name (required) and instructions (to be included in the HEP communication to patients).
  • (Recommended but optional) Add a default CPT code and default minutes for billing. Adding a default CPT code will ensure it gets auto-populated when the intervention is added to a flowsheet.
  • Attach any relevant images in the Media tab.
  • Specify the activity type (exercise, modality, manual therapy), category, movement, and body type.
Note: We recommend keeping standardized intervention names as they will be printed as part of the chart note PDFs. You can customize group names (e.g. John Doe’s Interventions) as they will not be printed in the PDFs.

Create a New Intervention Group

  • In the Intervention Manager, click New Group.
  • Enter a group name. Group names are internal only; they do not appear in chart notes or PDFs.
  • (Optional) Assign a Body Part or Movement Type.
  • Filter interventions by name, body part, or activity type, then click to add them to the right-hand panel.
  • Create subgroups as needed and adjust the order of interventions or subgroups. New Intervention Group Web

Edit an Existing Intervention

  • Click the intervention’s name to open it.
  • Edit details such as instructions, media, CPT code, or default minutes. Edit Intervention Pn

Review Intervention Progress

Click Intervention Progress in the Flowsheet section to view statistics from all previous interventions.
  • If an intervention was added to the chart note for a specific visit, its background will appear grey.
  • The text in each cell represents weight – sets – reps. Intervention Progress Web
